King’s Online (KO) and King’s Professional & Executive Development (KPED) are part of the School for Professional and Continuing Education and share a common operational team. This role will report to King’s Online (KO) and King’s Professional & Executive Development (KPED) and will share a joint operations team. This role will report to the Senior Vocational Training Coordinator KO and KPED and will work with them to coordinate vocational training activities in all modalities (face-to-face, blended and online) across the two departments as per their plans. business. Playing a key role in the operations team, they will need to take a proactive role in ensuring that both departments operate efficiently and effectively and within the framework of university policies and will provide executive assistant support to the director of the professional training.

They will be responsible for:

KO & KPED operations

  • coordinate discrete transversal projects entrusted by the team, which will require independent decision-making, forward planning and production of evaluation reports;
  • work with the operations team to identify, develop and implement process improvements;
  • liaise with senior administrative colleagues, external organizations and academic stakeholders to establish ongoing professional relationships;
  • use own initiative, judgment and creativity as well as established relationships with other professional service providers to resolve non-standard work issues such as internal administrative bottlenecks. Develop workarounds and propose alternatives in assessment reports;
  • update and maintain departmental web pages, ensuring that all published copies are kept up to date;
  • any other task related to the role.

Vocational education

  • develop and manage KPED’s administrative systems and procedures, as well as any new directives or relevant processes. This includes making general administrative decisions / planning related to areas such as finance, filing and databases (including CRM), deciding how best to store and interpret the data;
  • support the development of assessment forms, design online assessment surveys, collect and analyze data for monitoring purposes;
  • create and maintain a professional image for teams and compile case studies for marketing and advertising purposes;
  • dealing with the different facets of professional services, working closely with them to influence and achieve delivery to the demands of non-standard and outward-oriented education;
  • act as secretary for vocational training working groups, as required;
  • act as the first point of contact for all incoming callers and visitors, manage shared inboxes and provide excellent customer service.

Open registration short course operations

  • Ensure effective course set-up and delivery: provide relevant reports, assign tasks to support project managers, and work with colleagues to help effectively promote the portfolio;
  • Directing the day-to-day management of the approval of short courses and the application and payment of short courses on relevant systems;
  • create and maintain guidelines for short open enrollment courses, explain relevant processes to departments and provide training to King staff on the systems used;
  • provide recommendations to support informed decision making on appropriate short course management systems.

King’s Professional & Executive Development (KPED) is a specialized business development unit enabling King’s Faculties to provide professional training to a large international and national audience. We partner with all of King’s faculties to design, develop and deliver open and tailor-made educational programs in line with King’s education strategy. The position is primarily based at the King’s Strand campus, although you may travel to other campuses on occasion. As part of King’s Hybrid Work trial, all team members can work remotely for part of the week if they choose.

This is a full time position – 100% full time equivalent

Main responsibilities

  • work with the operations team to identify, develop and implement process improvements;

Skills, knowledge and experience

Essential criteria

1. Diploma or equivalent level of qualification

2. Excellent communication skills (both written and verbal)

3. Excellent organizational and time management skills: the incumbent will have a portfolio of projects running simultaneously and therefore is required to employ expert multitasking and project management skills; regularly review and modify this document in light of any changes to the program or work priorities

4. Previous responsibility for the administration of the office

5. Commitment to continuous process improvement, using own initiative to identify and implement more efficient or effective results

6. Excellent computer skills and knowledge of databases and web operations.

7. Excellent attention to detail and forward thinking, including the ability to spot errors and problems

8. Some experience supporting the organization of events and / or assisting in the organization of short courses or events online or in person.

9. Team player who works openly with colleagues to deliver collectively

10. Ability to understand and function in the different cultural environments of academia and business
